There is no set rule, but the financial outlay is often considerable. According to the <a href=\"https:\/\/27names.com\/wp-content\/uploads\/2026\/06\/27Names-EEX-2025-Report.pdf\" target=\"_blank\" rel=\"noopener\">European Experience Index 2025<\/a>, the marketing managers surveyed in the Benelux allocated an average of 35 per cent of their marketing and communications budget to live events, compared with 27 per cent in the European sample. These are not indicative figures for every company. However, they do illustrate why a good event budget is more than just the sum of its costs: it helps you make informed choices, set priorities and avoid surprises.    <\/strong><\/p>\n<\/div>\n            <div><div>\n<p>Whether you\u2019re organising a seminar, staff party, conference, product launch or customer event, having a clear budget brings peace of mind. But where do you start? Which costs are easy to overlook? And how do you ensure quality without losing sight of the expenditure? These 9 tips will help you get started.<\/p>\n<h2>1. First, decide what your event really needs to achieve<\/h2>\n<p>Before you start filling in figures, you need to know what your event is meant to achieve. Do you want to generate leads, thank staff, inspire customers, share knowledge or strengthen your brand? Each objective requires different choices and therefore a different budget allocation.<\/p>\n<p>A content-driven conference, for example, requires more focus on speakers, technical equipment and breakout rooms. At a staff party, the experience, catering and atmosphere often take precedence. So ask yourself first: what should participants take away with them when they go home?<\/p>\n<h2>2. Distinguish between \u2018must-haves\u2019 and \u2018nice-to-haves\u2019<\/h2>\n<p>Not every aspect of your event needs to be top-of-the-range. The trick is to invest in what contributes most to your objective. Is networking the main focus? Then ensure there is sufficient space, well-timed breaks and a pleasant environment for conversations. Is it about knowledge transfer? Then acoustics, sightlines and audiovisual quality are more important than elaborate decoration.<\/p>\n<p>Divide your requirements into three categories: essential, desirable and optional. This way, you can make adjustments if a quote turns out to be higher than expected, without cutting back on what actually makes your event worthwhile.<\/p>\n<h2>3. Separate fixed and variable costs<\/h2>\n<p>Fixed costs usually remain the same, regardless of the number of participants. These include venue hire, basic technical facilities, speakers\u2019 fees or a fixed cost for staff. Variable costs fluctuate with the number of guests: catering, badges, programme booklets or additional service staff, for example.<\/p>\n<p>Why is this distinction useful? Because it allows you to see immediately what happens when your number of participants changes. If 50 more guests attend, it\u2019s mainly the variable costs that rise. If attendance is lower than planned, the fixed costs per participant become a greater proportion of the total. By calculating both separately, you can create realistic scenarios.<\/p>\n<h2>4. Don\u2019t forget the small costs<\/h2>\n<p>Venue and catering are usually sorted quickly. But what about signage, cloakroom, security, welcome materials, cleaning, insurance, waste disposal or last-minute purchases? These items can easily slip your mind, even though together they can make a noticeable difference.<\/p>\n<p>So go through your event step by step, from the first invitation to the dismantling. Which people, materials and services are needed at each stage? This way, you\u2019ll identify costs before they turn into surprises.<\/p>\n<h2>5. Identify technical requirements early on<\/h2>\n<p>A microphone and a screen sound simple \u2013 until it turns out you also need sound amplification, extra lighting, recording equipment, technical control or on-site support. For a hybrid event, you may also need cameras, streaming and a suitable internet connection.<\/p>\n<p>You should therefore discuss the content and schedule of your programme with the venue or technical partner at an early stage. This will result in a more accurate quote and prevent you from having to improvise at the last minute. After all, what use is a brilliant speaker if nobody at the back of the hall can hear them properly?<\/p>\n<h2>6. Set aside a contingency for unforeseen costs<\/h2>\n<p>Even with a carefully planned event, things can change. More participants may register, a speaker may require additional technical equipment, or the set-up may take longer than anticipated. A financial buffer gives you the flexibility to respond to such situations.<\/p>\n<p>For example, you could set aside 10 per cent of the estimated costs as a reserve. If you\u2019re expecting expenditure of \u20ac18,000, that means an extra \u20ac1,800 and a total budget of \u20ac19,800. That 10 per cent is a practical rule of thumb, not a mandatory figure: tailor the reserve to the uncertainties and complexity of your event.<\/p>\n<h2>7. Request quotes that you can actually compare<\/h2>\n<p>Two quotes with the same total amount may cover completely different things. Are technical equipment, furniture, set-up and dismantling, staff, VAT, parking and cleaning included? And what is the cost of a change in the number of attendees?<\/p>\n<p>You should therefore give suppliers the same briefing, making it as specific as possible. Also ask explicitly which items are excluded from the quote. Only then are you comparing like with like and can you assess which solution best suits your event and your budget.<\/p>\n<h2>8. Avoid waste without compromising on the experience<\/h2>\n<p>Too much printed material, items used only once or catering for guests who don\u2019t turn up: waste costs money. It also has a wider impact. According to <a href=\"https:\/\/ec.europa.eu\/eurostat\/web\/products-eurostat-news\/w\/ddn-20251016-2\" target=\"_blank\" rel=\"noopener\">Eurostat<\/a>, restaurants and other food service providers accounted for 11 per cent of food waste in the EU in 2023. Whilst this figure does not relate exclusively to events, it does underline the importance of well-considered catering choices.<\/p>\n<p>You should therefore work with up-to-date registration figures, coordinate numbers with the caterer in good time and ask when you need to submit the final order. Also consider where digital communication or reusable signage will suffice. Wasting less doesn\u2019t mean offering your guests less; it means ordering exactly what they need.<\/p>\n<h2>9. Keep track of your budget right up until after the event<\/h2>\n<p>A budget isn\u2019t a document you fill in once and then put away. Update it as soon as you receive a quote, a supplier confirms an order or an additional request comes in. Make it clear which costs are fixed, which are still estimated and where a decision is still needed.<\/p>\n<p>Afterwards, compare your budget with the actual expenditure. Which items were underestimated? Where was there money left over? And which investment really made a difference to the participants? According to the European Experience Index 2025, the marketing managers surveyed in the Benelux allocated an average of 35 per cent of their marketing and communications budget to live events, compared with 27 per cent in the European sample. These are not indicative figures for every company.
