For many companies, it’s an integral part of their policies, reporting, and reputation. Events are also playing an increasingly important role in this regard. After all, every event highlights certain choices: how people travel, what they eat, and what materials are used , how inclusive the program is, and how responsibly resources are managed.

Expectations are high, but the budget remains a concern. A representative Belgian public opinion poll conducted by Event Confederation and iVOX in 2025 shows that the majority of Belgians believe events should be organized in a more sustainable manner. However, only 34% are willing to pay more for this. Sustainability must therefore not only be ambitious but also practical and financially feasible. Event Confederation explains the survey results here.

How do you organize an event that’s professional, comfortable, and responsible? And how do you ensure that sustainability isn’t just empty rhetoric?

The good news: Implementing ESG doesn’t have to be complicated. Above all, it requires conscious choices, clear agreements, and measurable results. This checklist will help you put ESG into practice—step by step—without complex jargon.

1. Start by asking the right questions

A sustainable event doesn’t start with the trash cans on the day of the event. It starts with the briefing.

What do you want to achieve? Who will be attending? Does everyone need to be physically present? What impact do you want to measure?

By asking these questions early on, you’ll make better choices. You’ll avoid last-minute solutions and ensure that ESG isn’t just an afterthought, but a logical part of your event.

So make ESG a part of your project plan right away. Define which goals are important to your organization. Consider reducing waste, lowering CO₂ emissions, promoting more inclusive participation, or improving post-project reporting.

Formulate those objectives as specifically as possible. “We want to organize our operations in a more sustainable way” provides little direction. “We want to use fewer single-use materials, collect mobility data, and reduce food waste” makes it clear what the team and suppliers need to focus on.

This ensures that ESG is given weight from the start, rather than being an afterthought at the end.

2. Choose digital whenever possible

Paper invitations, flyers, and program booklets have a tangible feel. But are they always necessary? Often not.

Digital invitations, online registration, and QR codes for practical information reduce paper usage and make it easier to communicate changes quickly.

If you still want to use physical promotional materials, choose reusable or timeless items. Avoid including specific years or one-time slogans on banners and signage. That way, you can reuse the same materials for future editions.

Digital communication offers another advantage: you can make it more personalized and efficient. Segmentation, reminders, and practical updates are processed more quickly. Participants can find the information they need more easily. And your organization can keep better track of registrations, dietary requests, and transportation options.

Here, too, it’s important to make a conscious decision. Not every participant has the same level of digital proficiency. Therefore, provide clear instructions and offer an accessible alternative when necessary.

3. Limit travel wisely

Mobility can be a key factor at events. Therefore, take a critical look at the venue.

Is it easily accessible by public transportation? Are there bike racks? Are there charging stations for electric cars? And can you encourage participants to carpool?

Hybrid participation can also be helpful. Not every participant needs to be physically present at all times. For international speakers, brief updates, or follow-up sessions, a hybrid format can reduce the impact of travel.

Please note: hybrid events only work well if the technology is reliable and online participants are truly engaged. A camera at the back of the room isn’t enough. Ensure good video and audio quality, a moderator who also addresses the online participants, and a way for them to ask questions.

Also, consider the timing of your event. Starting just after the morning rush hour can make public transportation a more attractive option. Choosing an appropriate end time prevents participants from becoming entirely dependent on private transportation.

Clearly state the accessibility information in the invitation. Make it easy to make sustainable choices. That way, participants are more likely to follow through on them.

4. Select a sustainable location

The venue determines much more than just the atmosphere of your event. It affects energy consumption, waste management, logistics, catering, transportation, and comfort.

So be sure to ask questions. Does the facility use green energy? Are there energy-efficient technologies in place? How is waste sorted? What materials and suppliers are already available on site?

A venue with its own audiovisual equipment, furniture, and catering facilities can also reduce the number of external deliveries and temporary installations.

Also pay attention to certifications. Labels such as Green Key indicate that a location has a systematic approach to sustainability. But remain critical. A label is most valuable when it is backed by concrete actions, periodic inspections, and transparent information.

Green Key is an international sustainability label for tourism, MICE, and leisure. In Flanders, it is awarded by Tourism Flanders and GoodPlanet Belgium. The assessment takes into account factors such as energy, water, waste, sustainable management, and the involvement of guests and employees.

Because the certification is based on established criteria and an assessment, such a label helps to better substantiate sustainability claims and avoid greenwashing.

5. Make catering mindful and inclusive

Catering is visible. Everyone experiences it. That’s why it’s a powerful lever in your ESG strategy.

Whenever possible, choose local suppliers, short supply chains, and seasonal products. Ask your caterer how ingredients are selected and how the menu can be tailored to the season, the region, and the number of guests.

Also consider inclusivity. Are there suitable options for allergies, religious preferences, or specific dietary needs? Is the information communicated clearly?

A responsible menu isn’t just about where the ingredients come from. It also ensures that every guest can fully participate in the dining experience.

Also, ask your caterer how leftovers are handled. Are portion sizes adjusted based on the number of guests? Is there a plan for unused food? Can tap water or filtered water be an alternative to individual bottles?

By discussing the catering in detail beforehand, you can avoid waste without compromising on quality or the overall experience.

6. Use materials that have been given a second life

An exhibition booth, badge, or banner doesn’t have to be a disposable item. Opt for modular materials, reusable signage, and digital alternatives to brochures.

Ask suppliers how materials are manufactured, transported, and processed after use. Can parts be reused? Can signage be designed without a date or year? Is packaging taken back after delivery?

Even small choices matter. Think of refillable water stations, reusable tableware, badges without plastic sleeves, and decorations that don’t disappear after just one day.

Suppliers also play a role in this. Choose partners who can demonstrate how they operate. Do they use recycled materials? Can they store materials locally? Do they have an efficient transportation plan?

ESG becomes stronger when every link in the chain shares the same ambition.

7. Track what you do

To measure is to know. Without data, sustainability quickly remains just an intention.

That’s why you should use measurement tools like the My Impact Tool to assess your event’s impact. Consider factors such as transportation, catering, energy, materials, and waste.

The fact that measurement actually leads to useful insights is demonstrated by the sustainability analysis of the Belgian Event Sector Congress held in November 2025. The congress’s ecological footprint was 13% below the average for comparable congresses in the tool used. This result not only highlights the progress made but also identifies areas where further improvement is still possible. The Flanders Convention Bureau published the analysis and the key lessons learned.

The metrics help you make better decisions. They provide tangible evidence of your efforts and serve as input for ESG reporting, internal communications, or stakeholder evaluations.

Tools such as the My Impact Tool collect information on more than just CO₂. Waste, biodiversity, circularity, digital impact, SDGs, and inclusion can also be included in the analysis.

This makes it easier to conduct a baseline assessment and demonstrate progress in subsequent editions.

8. Don’t forget the “S” in ESG

ESG isn’t just about the environment. Social impact matters, too.

Is your event accessible to people with limited mobility? Is the communication clear to everyone? Are the speakers and panels well-balanced? Do participants feel welcome, safe, and respected?

Inclusivity starts with practical details. These include clear signage, ample breaks, accessible venues, language options, dietary options, and a program that incorporates diverse perspectives.

The social dimension can also be measured. In the same sustainability analysis, the Event Sector Congress achieved an inclusion score of 71%. The assessment took into account factors such as physical accessibility, a low-stimulus environment, the composition of the speaker lineup, and consideration for allergies and intolerances.

A score like that isn’t the end goal. It highlights what’s already working well and which participant needs deserve more attention in the next edition.

So ask yourself some simple questions. Can everyone get to the venue? Is there enough space for wheelchair users? Are the presentations easy to read and understand? Is the registration process clear? Are different languages, cultures, and needs taken into account?

Inclusivity often isn’t found in grand statements, but in practical choices that exclude no one.

9. Communicate honestly

Tell them what you do, but don’t exaggerate. Sustainable communication means being transparent about choices, progress, and limitations. It’s better to specify exactly what you’ve improved rather than making a general claim that your event is “green” or “fully sustainable.”

A good rule of thumb: Can you prove the claim? If so, you can use it. If you can’t back it up, phrase it more cautiously.

So make your communication specific. For example, mention that you’re using digital invitations, local catering, reusable signage, or a venue with a recognized sustainability certification.

Share your results when you have them. How many participants used public transportation? What materials were reused? How much leftover food was there? What improvements will you implement for the next edition?

Honest communication doesn’t weaken your story. In fact, it makes it more credible.

In conclusion: Building an ESG-compliant organization is a collaborative effort

After the event, the next step begins. Gather feedback from participants, vendors, and internal stakeholders.

What worked well? What were the biggest obstacles? What data was still missing?

By including ESG in the evaluation, you’ll build knowledge for the next edition.

This is also valuable internally. A well-founded evaluation helps the marketing, communications, facilities, procurement, and management teams work together more effectively. ESG then becomes not the responsibility of a single person, but a shared practice throughout the organization.

An ESG-conscious event doesn’t have to be complicated. Above all, it requires making decisions early on, choosing the right partners, and being willing to measure your impact.

Start with the key factors: location, mobility, catering, materials, and inclusivity. Then move forward step by step. That way, each event will become a better version of the last.

Want to organize an ESG-compliant event at BluePoint Antwerp?

BluePoint Antwerp supports businesses with a comprehensive, sustainable approach. what you do.

Would you like to incorporate ESG principles into your next event? <a
