The conference has barely begun, and people’s eyes are already wandering to their smartphones. By the third slide, someone is discreetly answering an email. Another attendee is studying the program, quietly hoping that the coffee break is closer than they thought.

So has our attention span vanished for good? Not necessarily. Often, the problem lies less with the audience than with the way the event is structured.

A succession of long presentations, a monotonous rhythm, messages lacking clear coherence or an unsuitable venue can cause even motivated participants to lose interest. A well-structured event, on the other hand, can hold people’s attention for hours on end, without turning every speaker into an entertainer or constantly resorting to spectacular effects.

You don’t force people’s attention by telling them they ‘need to stick around a bit longer’. You build it up. Through variety, clear messages, relevant interaction and well-planned breathing spaces.

So how do you design a conference, training course or company event that people actually want to follow right to the end? These are the key levers.

Start with a clear promise

Why should participants spend several hours at your event? What will they understand better, view differently or be able to do in practice afterwards?

A vague invitation creates vague expectations. “Discover three practical applications of artificial intelligence within our sector” provides more direction than “A look at tomorrow’s trends”.

The promise you make to your audience must guide your choice of topics, speakers and activity formats. If you want to convey a vision, a keynote speech may be appropriate. If a problem needs solving, workshops are likely to be more effective. If you want to strengthen relationships, there must be sufficient time for conversations.

Before adding anything to the programme, ask yourself one simple question: does this element genuinely contribute to what we have promised our participants?

If not, perhaps it doesn’t need to be on the agenda. A shorter programme with a clear purpose generally holds people’s attention better than a full day where every available minute is utilised.

Create a common thread, not a collection of presentations

A programme can feature excellent speakers and still feel disjointed. This happens when each presentation stands on its own, without any substantive transition or clear structure.

Instead, approach the event as a story. The opening sets out the challenge. The first presentations provide the necessary insight. Real-world examples bring the topic to life. During interactive sessions, the audience processes the ideas. The conclusion summarises the key lessons and looks ahead.

A strong programme answers three questions, step by step:

Why does this topic deserve our attention?

What does it actually change for us?

What can we do with these insights after the event?

The moderator plays a key role here. They can draw connections between sessions, revisit earlier conclusions and explain why the next contribution is relevant.

This ensures the programme doesn’t feel like a series of disjointed presentations, but rather a journey in which each step logically builds on the previous one.

Vary the format before monotony sets in

There is no universal time limit after which everyone automatically stops listening. Attention spans depend on the topic, the speaker, the audience’s motivation and the complexity of the content.

Nevertheless, a series of identical presentations becomes tiring, even when each individual presentation is well-delivered.

For example, follow a keynote speech with an interview. After a panel discussion, ask the audience a question. Combine a demonstration with a workshop, or let a theoretical explanation culminate in a recognisable real-life case study.

The rhythm can also change within a single session. A speaker might open with a story, then explain a key idea, give a concrete example, ask the audience for a response and conclude with a clear summary.

Check every twenty to thirty minutes to see if anything has changed:

The voice or speaker

The visual medium

The position in the room

The level of participation

The type of content

The space in which the activity takes place

Variation does not mean you have to constantly add new stimuli. The aim is to prevent the audience from remaining in exactly the same listening state for too long.

Encourage participants to get involved to help them understand better

Passive listening requires a great deal of effort. As soon as participants have to choose, respond, compare or explain something to someone else, their relationship with the content changes.

A meta-analysis in the Proceedings of the National Academy of Sciences compared 225 studies on traditional lecture-based teaching and active learning. Within that academic context, active learning methods improved assessment results by around 6 per cent.

A professional event is, of course, not a university lecture. However, the underlying principle remains interesting: those who actively process an idea are more likely to understand and remember it.

Interaction doesn’t have to be complicated. Consider:

A quick show of hands

A live poll

Two minutes of individual reflection

Comparing answers with the person next to you

A practical case study for small groups

A question formulated by participants in advance

Do avoid interaction for the sake of it. A poll is only valuable if the speaker acts on the result. A question to the audience must influence the subsequent discussion. Otherwise, the audience will quickly realise that the contribution serves only to make a presentation seem more dynamic.

Prepare speakers to address their audience

A high level of expertise does not in itself guarantee an engaging presentation. Some speakers want to share everything they know about the subject. Others fill their slides with text because it provides a safety net.

Ask each speaker to formulate one key message. What should the audience still remember a week later?

The presentation can then be structured around that single message, with relevant examples and a concrete conclusion. Anything that is interesting but does not contribute to the core idea can, if necessary, be shared as reference material.

A rehearsal helps to check five things:

Does the main message come across clearly and quickly?

Do the examples resonate with the audience?

Are the slides legible?

Does the speaker stick to the allotted time?

Does the presentation end with a clear conclusion?

A briefing need not take away from the speaker’s personality. On the contrary: by sorting out the structure and timing in advance, there is more scope for a natural and convincing presentation.

Use technology to enhance clarity

A slide is not a report projected onto a large screen. When the audience has to read a dense block of text whilst trying to listen to the speaker, the two messages compete with each other.

Ideally, stick to one idea per slide, use sufficiently large text and images that genuinely support the narrative. A simplified graph or a powerful photograph can clarify a message. Fifteen small bullet points usually have the opposite effect.

Sound is even more fundamental. The audience can usually tolerate a mediocre image; a voice that is difficult to understand drains their attention very quickly. Test the microphones in advance and ensure that someone can intervene immediately should a technical problem arise.

Lighting, too, must direct the eye to what is important: the speaker, a demonstration, the panel or the screen. In this way, technology becomes a tool for understanding, rather than a gimmick designed merely to impress.

Give the programme room to breathe

When participants make a special effort to attend an event, there is a tendency to want to fill every minute. However, an overloaded agenda comes at a cost. Information becomes jumbled, conversations are cut short, and participants still find themselves looking for a moment to check their messages during presentations.

In Bizzabo’s State of Events 2025 report, 73 per cent of participants surveyed stated that free time during in-person events is important.

Breathing space is therefore not wasted time. It gives participants the chance to process information, take notes or discuss an insight with someone.

Alternate content-heavy sessions with lighter ones. For example, don’t schedule three strategic keynotes in a row just after lunch. Schedule the most important topics for times when energy levels are high, and opt for participatory formats when the audience needs to move around.

Want to literally break up the rhythm? Use a terrace, patio or roof terrace as the setting for a coffee break, an informal breakout session or a networking opportunity. Discover the outdoor spaces at BluePoint Antwerp and give participants the chance to step outside for a moment before the programme continues.

Design breaks that truly refresh

A break doesn’t serve its purpose if participants spend it entirely queuing. Provide plenty of catering points, a logical flow of movement, easily accessible water and some comfortable seating.

The need to catch one’s breath is by no means insignificant. In an Ipsos survey for Hilton’s Meetings & Events Trends 2025 report, 78 per cent of respondents indicated that they sometimes need a break or a moment to themselves during a professional event.

Not everyone recharges in the same way. Some participants want to network. Others want to go for a short walk, reply to a message or take a moment to be on their own. A quiet seat can therefore be just as valuable as a lively networking area.

Also consider the nature of the break. A short coffee break after an interactive workshop serves a different purpose to a longer break between two content-heavy programme segments. Tailor the duration, catering and space accordingly.

Breaks are not an interruption to the programme. They prepare participants’ attention for the next session.

The Foyer at BluePoint Antwerp is designed precisely for such moments. The open, comfortable space connects seamlessly with the surrounding event halls and provides space for coffee breaks, informal conversations and quiet networking moments between sessions.

Tailor the venue to the desired behaviour

The venue layout directly influences how people participate.

A theatre-style layout directs attention towards the stage. It works well for keynote speeches and important announcements, but makes spontaneous conversations less likely.

A cabaret-style layout encourages small-group discussions whilst still maintaining a view of the stage. A classroom layout provides space for writing. A U-shape supports conversation within a smaller group. Round tables can encourage collaboration, provided that participants can still see the screen and the speaker clearly.

So don’t automatically choose the layout you’re used to. Base your decision on what participants need to do during that part of the programme.

Comfort also plays a role:

Is the temperature comfortable?

Is there enough fresh air?

Can participants hear the speaker clearly?

Is the screen visible from everywhere?

Are the chairs comfortable enough?

Is there natural daylight without distracting reflections?

Can participants move around easily?

Also anticipate changes to the programme. Having several nearby rooms and modular furniture makes the transition between presentations, workshops and networking easier, without the need for lengthy technical set-ups.

Sometimes a change of venue is enough in itself to generate new energy. From a dark plenary hall to a light-filled breakout room, from a formal layout to an informal seating area, or from indoors to outdoors: the body notices the transition, and the mind often follows naturally.

Minimise distractions without patronising the audience

Smartphones and laptops aren’t just distractions. Participants also use them to take notes, check the programme, submit a question or take part in a live poll.

Instead of banning screens altogether, you can indicate when they’re useful and when a conversation is more productive if devices are kept closed for a while.

Above all, minimise distractions caused by the organisers themselves:

Doors that are constantly opening and closing

Catering staff who start setting up during a presentation

Unnecessary notifications in the event app

People repeatedly walking past the stage

Technical equipment blocking sightlines

Noise from adjoining rooms

A reliable Wi-Fi connection remains important, especially for interactive and hybrid formats. But even the fastest connection cannot make irrelevant content engaging.

Give online participants a fully-fledged experience

At a hybrid event, attention spans are even more fragile. Online participants do not feel the energy of the room and miss out on the informal conversations during the breaks.

Therefore, provide a moderator who monitors the chat and brings questions to the stage. Alternate camera angles, make presentations legible on a smaller screen, and ensure that questions from the physical venue are clearly audible.

Avoid an unedited eight-hour broadcast. Select the segments that offer real value to remote participants and ensure there are sufficient breaks for the online audience as well. A shorter digital programme with a brisk pace often works better than a full-length live stream.

Above all, make sure online participants feel they are genuinely taking part. A question from the chat, a separate digital conversation or a shared poll result confirms that both audiences are part of the same event.

Have a good moderator keep the rhythm going

A moderator does more than just announce names. They observe the room, make smooth transitions between topics and keep the event on track.

When energy levels dip, a good moderator can cut short a follow-up question, summarise a complex answer or re-engage the audience. You should therefore ensure the moderator has a clear understanding of the full programme, the aim of each session and the arrangements made with the speakers.

A direct link to the technical control room is also important. This allows the moderator to react quickly if a presentation ends too early, a speaker runs over time or a technical fault occurs.

The best moderator does not try to be the centre of attention all the time. Instead, they ensure that attention is always directed to the right place.

Gauge attention to improve future events

You cannot gauge attention by the silence in the room. A quiet audience may be concentrating, listening politely or have completely zoned out whilst still keeping their eyes open.

You should therefore combine various indicators:

Responses to polls

The number and quality of questions

Participation in workshops

Attendance per session

Leaving early

Downloaded presentations or supplementary content

Follow-up actions after the event

In the evaluation, ask participants when they felt most engaged, which session went on too long, and what they intend to do with the knowledge they’ve gained.

This helps you distinguish between a part of the event that was simply enjoyable and one that actually created value.

Checklist before the doors open

The event’s promise is clear.

Each session supports a clear objective.

Listening, interaction and movement are alternated.

The speakers have been briefed and have rehearsed.

The presentations are easy to follow and the technical equipment has been tested.

The programme includes sufficient breaks.

The room layout suits the desired behaviour.

Online participants are given a tailored experience.

The moderator is familiar with the overarching theme and the contingency plans.

The engagement indicators have been defined in advance.

Indoor and outdoor spaces are deliberately used to provide variety.

The break areas are comfortable and easily accessible.

Holding the audience’s attention is not the same as constantly entertaining them

An engaging event does not stimulate the audience every single second. It knows when to convey information, when participants should get involved, and when everyone needs a moment to catch their breath.

Relevance captures attention. Rhythm holds it. Interaction deepens it. Comfort and technology prevent unnecessary distractions. Moreover, a clever alternation of spaces gives participants a mental and physical reset.

BluePoint Antwerp offers a combination of large plenary halls, flexible breakout options, professional audiovisual infrastructure and on-site support to achieve this. The Foyer is a natural spot for informal breaks, whilst the Orangery, terraces and the green roof terrace can literally take the programme outdoors.

Would you like to design an event that is
