Looking for an event venue in Antwerp? Here’s how to find the right venue for your corporate event

Antwerp offers a wealth of opportunities for business events. According to the City of Antwerp, over 517,000 overnight stays were recorded in 2025 for MICE purposes: meetings, incentives, conferences and events. That is 24.7 per cent more than in 2024. According to preliminary figures, 92.7% of those overnight stays were linked to corporate events. These figures relate to overnight stays, not a count of the number of events, but they do demonstrate just how important business tourism is to the city.
That’s hardly surprising. Antwerp brings together an international business community with strong sectors such as port and logistics, chemicals, healthcare and digital innovation. At the same time, the city offers a remarkably wide choice of event venues. That is precisely where the challenge lies: which venue not only suits the image of your event, but also accommodates everything that needs to happen on the day?
Don’t start with the venue, but with your programme
A venue may look perfect in photos, but choosing the right one starts with a more important question: what does your event need to succeed?
Start by mapping out your programme. How many participants are you expecting? Will everyone attend the same sessions, or will you need separate rooms for parallel sessions and workshops? Think about the practical details too: is there enough space for registration, catering, partner stands and networking? And where will your guests be travelling from — Antwerp, elsewhere in Belgium, or abroad?
Once you have a clear picture of your event, finding the right venue becomes much easier. For a reception, you may want an inviting atmosphere and a space where guests can naturally meet and mingle. A conference with workshops, on the other hand, calls for flexible rooms, reliable technical facilities and a layout that allows guests to move smoothly from one part of the programme to the next.
The right venue doesn’t just accommodate your event. It helps bring the experience you have in mind to life.
Plenty of choice is an asset… as long as you look beyond the aesthetics.
In Antwerp, you’ll find, amongst other things, historic buildings, cultural venues, hotels with meeting rooms, large conference centres and specialised event venues. Some venues immediately provide your event with a unique setting. Others are specifically designed to ensure that multiple sessions, technical productions and catering elements flow seamlessly into one another. The overview from the Antwerp Convention Bureau shows just how diverse the range of options is.
No single type of venue is the best choice in its own right. The pitfall is falling in love with the ambience only to discover later that the spaces are too far apart, a desired layout isn’t possible, or the technical requirements demand extra organisation. Turn the order around: first check whether a venue can accommodate your programme. Then let the atmosphere help determine your choice.
In the city centre or just outside?
A venue in the city centre can be a natural choice for guests arriving by train, staying overnight in Antwerp or planning to have dinner together afterwards. A historic setting can also add something special to the overall experience. But don’t overlook the practical side. Check how suppliers can load in equipment and what parking options are available for guests. In Antwerp’s historic centre, on-street parking is generally not available to visitors. A specialised venue outside the historic centre may offer a different set of advantages: multiple rooms on one site, catering and audiovisual support tailored to your programme, and fewer suppliers to coordinate. This can make a real difference when participants need to move between rooms or when your event has more complex technical requirements.
The choice doesn’t have to be between an attractive venue and a practical one. A central venue can be fully equipped, while a venue outside the city centre isn’t necessarily cheaper or more convenient for every guest. Look at the complete picture: how participants will get there, what the venue provides, and what the total cost includes. That will help you choose a venue that works not only on paper, but also on the day itself.
Check capacity for your preferred setup.
‘Space for 200 people’ doesn’t tell you everything you need to know. Does that mean 200 guests in a theatre-style setup, seated at tables or standing at a reception? And how much space is left for a stage, cameras, walkways, or other event infrastructure?
Ask for the capacity of each room based on the setup you need. Then look beyond the individual rooms and consider how the spaces work together. Can participants move easily from a plenary session to their workshops? Is the catering area large enough for everyone to gather at once? And is there enough room for groups to move around without creating bottlenecks?
On paper, the flow of participants may seem like a small detail. On the day itself, it can make a big difference. A well-planned layout keeps people moving comfortably and helps your programme run smoothly, rather than leaving everyone waiting, searching for the right room or queuing in crowded spaces.
Look beyond the venue price.
A competitive venue price can look attractive at first glance, but what does it actually include? Ask about everything that could affect your final budget: projection, microphones, sound, lighting, Wi-Fi, technical support, furniture, cleaning, and set-up and dismantling times. It’s also worth checking whether the venue works with preferred catering partners and what happens if your final number of participants changes.
When comparing venues, give each one the same briefing. This makes it easier to compare not just the final price, but also what is included and how much coordination will still be required on your side. For an event with multiple components, having a single point of contact can save you considerable time and effort — and may be just as valuable as a lower venue hire fee.
The most affordable quote isn’t always the one with the lowest price tag. Look at the full package, including the services, support and coordination that come with it.
Make time for a site visit.
A floor plan and a quotation don’t tell the whole story. During a site visit, walk the route your guests will take: from arrival and registration to the main hall, breakout sessions and the catering area. Is it immediately clear where everyone needs to go?
Next, view the rooms in the proposed layout. Check sightlines, acoustics and the distance between sessions. Discuss with a technical contact exactly what your programme requires and ask them to explain how the set-up, any changes and on-the-day support will be handled.
Will a large proportion of your audience be travelling by car? If so, ask how many parking spaces are actually available, whether they are paid for, and what alternatives you can recommend to your guests. Will participants be travelling by public transport? Check the entire journey right up to the entrance, not just the distance to the nearest station.
The right event venue makes all the difference.
Antwerp’s strength lies in the combination of business relevance, accessibility and a diverse range of event venues. The right choice therefore goes beyond photos and prices. Also consider room layouts, participant flow, catering, technical support and the extent to which the venue takes the pressure off you.
